Audiences & Filters
Audiences are saved filter rules that create dynamic groups of people. Unlike tags, which you apply manually, audiences update automatically as your data changes. If someone matches the filter criteria, they are in the audience. If they stop matching, they drop out. No manual maintenance required.
Audiences vs. Tags
This is a common question, so here is the short version:
- Tags = manual labels. You decide who gets them. Good for: "Board Member," "VIP," "Keynote Speaker."
- Audiences = automatic filters. The data decides who matches. Good for: "Gave in the last 90 days," "Registered for upcoming events," "People added this month."
Use both together for the best results. For example, create an audience that filters for people tagged "Major Donor" who have not given in the past 6 months -- a perfect re-engagement list.
Creating an Audience
- Go to Audiences in the sidebar.
- Click + New Audience.
- Give your audience a name (like "Active Donors" or "Lapsed Volunteers").
- Use the filter builder to add conditions.
- Click Save.
The audience immediately shows you how many people match your criteria. As your data changes over time, that count updates automatically.
The Filter Builder
The filter builder lets you combine conditions with AND logic. Available filter conditions include:
- Name -- Contains, starts with, or matches a specific name
- Email -- Has email, email contains, or email domain
- Tags -- Has a specific tag, has any tag, or has no tags
- Your fields -- Filter on any of your custom field values
- Created date -- Added before, after, or within a date range
- Giving history -- Has given, gift amount, last gift date
- Event attendance -- Registered for a specific event, attended any event
- Volunteer status -- Active, inactive, prospect, or alumni
Each condition has operators appropriate to its type. Text fields offer "contains" and "equals." Date fields offer "before," "after," and "between." Number fields offer "greater than," "less than," and "equals."
Using Audiences for Email Targeting
Audiences are most powerful when paired with email appeals. When creating an appeal, you can select an audience as your recipients. The appeal sends to everyone who matches the audience at the time of sending.
This means you can create reusable audience definitions:
- "All active donors" for fundraising appeals
- "Event attendees in the last 30 days" for follow-up thank-yous
- "New people this week" for welcome emails
Keyboard Shortcuts
The Audiences list supports the same keyboard navigation as other list views:
- W -- Move selection up
- S -- Move selection down
- D -- Open the audience detail view
- A -- Close the detail view or create panel
Managing Audiences
From the audience detail view, you can:
- Edit filter rules -- Adjust conditions and see the updated count in real time.
- View matched people -- See everyone who currently matches the audience.
- Use the audience -- Select it as the recipients for a new email appeal.
Audience definitions are saved and persist until you edit or delete them. There is no need to rebuild filters each time you want to target the same group of people.
