Volunteer Management

Volunteers are the backbone of many nonprofits. Nonprofitable. gives you a dedicated system to track volunteer profiles, manage their journey from applicant to active contributor, log hours, and recruit new volunteers through a public signup form.

Volunteer Profiles

Every volunteer profile is linked to a person record in your CRM. This means a single person can be a donor, an event attendee, and a volunteer -- all tracked in one place without duplicate records.

To create a volunteer profile:

  1. Go to Volunteers in the sidebar.
  2. Click + New Volunteer.
  3. Select an existing person or create a new person record.
  4. Fill in volunteer-specific details like skills and availability.
  5. Click Save.

The Status Pipeline

Volunteers move through a six-stage status pipeline that reflects their journey with your organization:

  1. Applicant -- Someone who has filled out your signup form or expressed interest, but is not approved yet.
  2. Pending -- Their application is under review or awaiting next steps.
  3. Active -- Currently volunteering on a regular basis.
  4. On leave -- Temporarily unavailable but expected to return.
  5. Inactive -- No longer volunteering, but still part of your community.
  6. Declined -- Not moving forward as a volunteer.

Update a volunteer's status from their profile. The status pipeline helps you understand your volunteer capacity at a glance -- how many are active, how many are in the review queue, and how many have moved on.

Hour Tracking

Log volunteer hours directly on each volunteer's profile:

  1. Open a volunteer profile.
  2. Add an hour entry with the date, number of hours, and an optional description of the work done.
  3. Save the entry.

Hours accumulate on the volunteer's record, giving you a clear picture of each person's contribution. This data is useful for recognition programs, grant applications (where volunteer hours are often reported), and understanding your organization's capacity.

Public Signup Form

Nonprofitable. generates a public volunteer signup page for your organization. Prospective volunteers can visit this page and submit their interest, including:

  • Name and contact information
  • Skills and areas of interest
  • Availability

Signups automatically create a person record (or link to an existing one) and a volunteer profile with "Applicant" status. You can share this page link on your website, in email appeals, or on social media.

Skills and Availability

Track what each volunteer brings to the table:

  • Skills -- Tag volunteers with skill-based labels (e.g., "Event Setup," "Graphic Design," "Mentoring") using tags.
  • Availability -- Note when volunteers are available so you can match them to opportunities efficiently.
